Figures in this story are illustrative while we finalise reporting with the practice. The workflows described are real. Sansa Medspa were not short of interest. Consultations booked easily, the diary looked healthy, and by any measure the top of the funnel was working. The problem sat one step further down, in the silence after the consult, where a meaningful share of patients simply never came back to book the treatment they had just spent forty minutes discussing.

Nobody had decided to let that happen. It is just that chasing a consult is nobody's job in particular, and on a busy Thursday it loses to whatever is physically in front of the desk. The same was true of packages: patients with sessions remaining drifted away, and the value walked out with them. And running underneath both was the conversation the team had several times a week, where somebody rang wanting injectables sooner than the interval allowed and had to be gently told no.

We started with conversion rather than with answering, because that is where the money actually was. Every consultation now triggers an automatic follow-up, and anyone who has not converted inside their window moves into a reactivation sequence rather than quietly disappearing. Remaining package sessions are tracked and rebooked before they lapse. The interval conversation happens on the call - the agent offers the first clinically appropriate date and explains why, which turns a refusal into a booking and means no member of staff has to have that exchange again.

The part they noticed most was the cancellations. A cancelled treatment slot in aesthetics is worth several routine visits, and it used to sit empty until somebody had a spare afternoon.
